Staff privacy notice

Version 1. Effective from the date this version is published in the app.

This notice explains what this school app records about staff members, why, who can see it, how long it is kept, and your rights under India's Digital Personal Data Protection Act, 2023. It applies to every school that uses this app. Each school, and the trust or society that manages it, is responsible for the staff data it records. Their grievance contacts are listed at the end.

Your account

Your name, username and the roles you hold in each school, and the profile you enter yourself: phone numbers, email, date of birth, gender, and an emergency contact (name, phone, relationship).

Every change you make in the app is recorded in a permanent audit log: who, what and when.

Each sign-in session keeps your IP address and whether it is a browser or the app, so you can see and sign out your sessions on your Account page; a session is erased 30 days after it ends. Each request to the app is logged with its time, your IP address and your browser's identification; these request logs are security evidence, kept for 400 days and then erased.

Each time you sign in, the app records that you agreed to this notice and the terms, and which version you agreed to.

Daily check-in and your location

When: only when you tap Check in. The app does not read your location at any other time or in the background, and it keeps one check-in per day in each school. A check-in from outside your school's check-in area is refused and nothing is stored.

What is stored: your position (latitude and longitude) and its accuracy as your phone reports it, your distance from the nearest check-in site of your school, the date and time, the status (inside the check-in area), your IP address and your browser's identification.

Who sees what: the management and office of the school where you checked in (by default; management may grant it to other roles) see the time, the status and the distance, rounded. A check-in counts at a second school of the same management only when one of the two schools has recorded that your check-in counts at both; the management and office of both schools then see it, with the school where it was taken. No screen shows your position or your browser to anyone, and no screen shows your IP address to anyone but you (your Account page lists your own sessions).

A shared check-in counts only from the day it is set until the day it is ended (that day included). Setting or ending it never changes a past day: a day already counted stays counted, and a day before it was set is never added. It is set by the person who adds you at the second school, who answers whether your check-in at the first school also counts there (or later by either school's management or office), and either school can end it. If a school leaves its management, its shared check-ins end that day.

How long: your position and its accuracy are erased 90 days after the check-in. Your IP address and browser identification are kept 400 days as security evidence, then erased. The date, time, status and distance are kept as your attendance record for 10 years, and also stay in the permanent audit log.

Why we use it

To run your staff account and sign-in; to record daily attendance; to run the school's work (classes, assignments and the records the school keeps about its staff); and to keep the app secure and every change traceable. Your data is used for these purposes only. It is not sold or used for advertising.

Who processes it

Your school's management and office, within the permissions your school sets. The app runs on a server operated for the school. Nightly backups are encrypted on that server before they are stored with a cloud storage provider; the provider cannot read them. The people who maintain the software can reach the data only to keep it running, and every action they take is recorded in the audit log as "ViYaMo sudo". Your data is not shared with anyone else unless the law requires it.

Your consent

Staff data is used mainly for your employment, which the Act allows. Where your agreement is needed, you give it by ticking the box when you sign in. You may withdraw it at any time by writing to your school's grievance contact, as easily as you gave it. Withdrawing may mean you can no longer use the app; records the school must keep (attendance, the audit log) are kept for their stated periods.

Your rights

You may ask for a summary of the personal data held about you and who it has been shared with; ask for it to be corrected, completed or updated; ask for it to be erased once it is no longer needed for its purpose or required by law; and nominate another person to act for you if you die or are unable to.

Write to your school's grievance contact below; if your school has not named one yet, write to your school's management. If you are not satisfied with the reply, you may complain to the Data Protection Board of India.
